The Notes tab of the DF Studio Asset Inspector collects a set of powerful tools and features for collaborating around an image and organizing conversations with stakeholders inside the DF Studio account as well as external Messenger recipients.
A Note spans its entire Project or Collection, and houses specific content associated with individual assets. By default, every Project or Collection begins with a Note entitled “General Notes.” The default Note may be renamed, or additional Notes may be added. The use of multiple Notes helps organize related material around specific topics or workflows, giving DF Studio users easy access to the most relevant information, and narrowing what will be shared in a specific Messenger.
Notes Content
Each Note consists of a description, a list, and any associated Conversations. Each of these is optional, and may be left empty if desired. Any DF Studio user who can access an asset can view and make changes to its Notes, edit the description, modify the list, or participate in the Conversation. When a Note is shared in a Messenger, recipients of the Messenger can check or un-check the items in the list, but cannot modify the list nor edit the description. Messenger recipients cannot see the Conversation within DF Studio, but can participate in Messenger Conversations, if enabled. For more details, see Collaborate With Messenger Recipients.
For more about creating and editing Notes, see Manage Notes and Edit Notes Content, below.
Visual Annotations
Within the Notes tab, any item in the list or any comment in a Conversation may have visual annotations attached: graphical markups on the 1-Up preview which can highlight areas of the image as a reference for the associated comment or list item. These visual annotations are accessible to any DF Studio user or Messenger recipient with access to the list or Conversation, and their visibility can be toggled while reviewing the 1-Up preview. For more information, see Visual Annotations.
Conversations
Each Note has an associated Conversation, in which any DF Studio user with access to the attached asset can participate. This Conversation cannot be shared outside of DF Studio. When sharing assets in a Messenger with the Note attached, new Conversations can be enabled for Messenger recipients to communicate with DF Studio users (individually, or as a group). These Messenger-based Conversations will appear alongside the DF Studio Conversation under the Note. For more information, see Collaborate With Messenger Recipients.
Any comment from a Conversation can be copied to become a list item in the Note. This promotes the visibility of the comment, and also allows it to be surfaced from the DF Studio Conversation into a context that is visible to Messenger recipients. Any visual annotations attached to the comment will be copied to the list item as well. For more details, see Copy a Comment to the List, below.
Share Notes With Messengers
An individual Note can be attached to any Messenger sent from the Project or Collection where the Note is stored. This will enable all Messenger recipients to see the description and list from the Note (if any) on each asset, and check or un-check items from the Note's list. Messenger recipients will not be able to make any other changes to this content.
Recipients will also be able to participate in Conversations around the asset, if enabled. A Group Conversation involving all Messenger recipients can be enabled, or a Private Conversation directly between each recipient and the DF Studio account, or both. For more details, see Collaborate With Messenger Recipients.
View Notes in Other Locations
An asset may be included in multiple Collections, as well as its original source Project. Each of these locations may have its own Note or Notes, containing material and Conversations related to the asset. When viewing an asset in one location, information about its Notes content in other locations will be visible in the Notes tab, at the bottom of the Notes listing. Click the “All Notes” link to view a list of all locations where Notes content exists for the current asset. To access a Note from another location, click on the Note summary in the list.
Manage Notes
Rename a Note
Each Project and Collection begins with a default Note entitled “General Notes” which can contain Notes content for each asset. To rename this, hover the mouse pointer over the title bar of the Note, and click the “edit” icon.
Provide a new name, then click the “done” icon to save the name.
Add a Note
Each Project or Collection can contain multiple Notes. To create an additional Note around a new topic or workflow, visit the Notes listing in the Notes tab by clicking the “All Notes” link, then use the “Add Note” button.
In the Create Note overlay, provide a name, then click the “Create” button to create the new Note. It will appear in the Notes listing, and be available for all DF Studio users who have permission to see assets in the current Project or Collection.
Delete a Note
Notes can be deleted from the Notes listing. Open the Notes tab, and if an individual Note is being displayed, use the “All Notes” link to access the Notes listing.
Each Note is attached to the Project or Collection that contains it, gathering Notes content from all of the included assets. Deleting a Note deletes its content, visual annotations, and Conversations across all assets in the Project or Collection, including Conversations from any Messengers sent with the Note attached.
Hover the mouse pointer over a Note’s title, then click the “edit” icon to make changes to the Note.
Click the “delete” icon from the far right of the title bar to delete the Note.
Click the “Delete” button in the resulting confirmation overlay to remove the Note and its content from all assets in the Project or Collection.
Edit Notes Content
Edit the Description
Each Note contains an optional description for each asset, which is a place to summarize the intended purpose of the Note, or give other collaborators some introductory information. It is attached to the asset in DF Studio and in any Messenger to which its Note is attached. Click “Add a Description” to enter a description in a new Note, or hover the mouse pointer over an existing description and click the “edit” icon.
Edit List Items
Each Note contains an optional list, which can be populated with numerous items to organize key ideas into a bulleted list, keep track of work in progress, etc. Click “Start a List” to begin a list in a new Note. Click “Add Item” to add a new item to an existing list, or hover the mouse pointer over an item and click the “edit” icon to edit an existing item.
Modify the text and visual annotations as needed, then click the “Save” button to save the list item. To delete a list item, click the “edit” icon then click the “delete” icon when the list item is in editing mode.
Visual annotation tools are only available when viewing an image in 1-Up view. For more information, see Visual Annotations.
Copy a Comment to the List
Any comment in a Conversation contained in a Note can be copied to the list for that Note (along with any attached visual annotations). Once copied, the comment and the list item can be edited separately, so it is possible to make adjustments to the list item to add clarity after separating it from the context of the Conversation, or make changes to the visual annotations as needed.
Begin by hovering the mouse pointer over the selected comment in the Conversation thread. Details about the comment (its author, posting date, etc.) will appear beneath the comment, and at the far right a “List” link will appear along with an arrow icon. Click this to copy the comment to the Note’s list.
If adjustments to the list item are necessary, hover the mouse pointer over the new list item, and click the “edit” icon.
Here, it is possible to change the text content of the list item, delete it, or make changes to any associated visual annotations. Once all changes are made, click the “Save” button.
Visual annotation tools are only available when viewing an image in 1-Up view. For more information, see Visual Annotations.
Edit or Delete a Comment
Any user can edit the text content or visual annotations of any comment they have posted in a Conversation. Hover the mouse pointer over the selected comment, and an “edit” icon will appear, while an edit box surrounds the comment text. Click either to begin editing the comment.
Make the desired changes to the text of the comment or its visual annotations, then click the “Save” button. (See Visual Annotations for a guide to editing features.) To delete the comment, click the “delete” icon.
After editing, the comment details will include the word “(edited)” and the timestamp will change to reflect the date and time of the most recent edit. For deleted comments, a notification will remain in the place of the comment in the Conversation thread.
Delete Another User’s Comment
Admin users in DF Studio can delete any comment from a Conversation. Hover the mouse pointer over the selected comment, then click the “delete” icon.
Click the “Delete” button in the resulting confirmation box to confirm the decision and permanently delete the comment. After deletion, a notification will remain in the place of the deleted comment in the Conversation thread.
Admin users can delete their own comments using the steps described above: first click the “edit” icon, then click the “delete” icon once the comment is in editing mode.
