A DF Studio Messenger can be sent in “Shared” or “Private” mode, in order to control the access that other users in the DF Studio account have to view and edit the Messenger. Private Messengers can only be viewed or edited by their sender or an account administrator, while Shared Messengers can be accessed by other users in the account.
Access to Shared Messengers
Users with account administrator privileges in DF Studio always have full access to view or manage all Messengers, whether shared or private. All other users can only view or manage a Shared Messenger if they have the “Send” permission granted on the specific Project or Collection from which the Shared Messenger was sent. (This permission may be granted directly on the Project or Collection, or inherited from an enclosing folder. The user may also be granted this permission based on membership in a Team for which this permission has been granted. See Control Access With Permissions Settings for more information.)
Users with the Owner permission on the originating Project or Collection will have access to view or manage the Shared Messenger as well, since the Owner permission encompasses all of the individual function-specific permissions.
Shared Messengers appear under the Messenger tab, identical to Messengers sent by the user. Users accessing a Shared Messenger have the ability to view the Messenger’s contents and Edits, and make all changes to the Messenger using the “Edit Details” button, just as if they had sent the Messenger themselves. (See Edit Messenger Details for specifics.) The only exception is the toggle configuring Shared/Private access; only account administrators or the sender of the Messenger can adjust this setting after the Messenger has been sent.
Configure a Shared Messenger
When creating a Messenger, the Account Access toggle can be used to set the Messenger to “Shared” or “Private” mode. See Messenger Templates and Configuration for more information about Messenger options.
The Messenger’s sender (or an account administrator) may also adjust this setting after the Messenger has been sent. See Edit Messenger Details for more information.
Shared Messenger Restrictions
Because access to Shared Messengers is based on a user’s granted permissions on the specific Project or Collection from which the Messenger was sent, Messengers with multiple sources cannot be configured as Shared Messengers.
- Messengers sent from the Bin can be configured as Shared Messengers, but only if all of the assets contained in the Messenger are stored in the same source Project.
- Multi-Messengers originate from multiple sources by definition, so a Multi-Messenger cannot be configured as a Shared Messenger.
Grant Access to a Private Messenger
Private Messengers can be managed only by account administrators or the user who sent the Messenger. If it is necessary to change a Private Messenger to “Shared” mode, this must be performed by the original sender or by an account administrator.
Click on a Private Messenger in the Messenger History to select it. Then click “Edit Details” to adjust the Messenger configuration.
Toggle the access mode from “Private” to “Shared” and then click “Save” in order to allow access by DF Studio users who have “Send” permissions on the Project or Collection from which it was sent.
Multi-Messengers and Messengers sent from the Bin can only be configured in “Private” mode. It will not be possible to convert these to Shared Messengers. See Shared Messenger Restrictions, above.
